Transfer of Awards from Other Institutions

Description

The process for transferring awards can vary significantly depending on the sponsor’s policies and the specific circumstances of the project. If there is a transfer of an award to the University there are several things that need to be accomplished, most of which are initiated by the originating institution.

The originating institution will need to complete close out requirements along with any final reporting, both financial and technical/programmatic. The originating institution should submit a transfer request to the sponsor. Once approved, the sponsor will provide the available amount, though units and PIs should anticipate that the process may be lengthy.

Departments may begin with the following items.

  • Establish communication with originating institution – beginning with the PI’s business office or their Sponsored Programs Office, which are usually best positioned to assist with the transfer process. 
  • Determine if the sponsor has guidance on the transfer process. 
  • If a PI is new to the University, they will need to meet the PI eligibility requirements according to CAM RP-06.  Additionally, the PI should have an appointment approved by the Board of Trustees. Approved exceptions to the policy must be documented.
  • Prepare and submit proposal to SPA adhering to the sponsor guidelines for transfers.

IMPORTANT! The budget for a proposal transfer should utilize the University's current F&A and fringe benefit rates.
